Frequently asked questions
Everything you might be wondering.
Don't see your question? Email us and we'll usually respond within a day.
What do I actually get when I buy a sheet?
Two files: a print-ready PDF and an editable Microsoft Word file (.docx). The PDF is locked-in formatting — perfect for printing 50 copies at FedEx or the hospital printer. The Word file lets you change labels, resize sections, or add your unit's name later. Both files are delivered to your email instantly after checkout.
Do I need to make an account?
No. You enter your email at checkout, pay, and we email your download link. Your link works for re-downloads anytime — bookmark the email or save it to a folder. If you lose it, our support team can resend.
What's the difference between premade and custom?
Premade sheets ($4) are pre-built by experienced nurses for specific units. You browse the shop, find one that fits, download. Custom builds ($6) let you pick every section from our 152-section library — start with a specialty starter, then add and remove sections to match your exact workflow. Both come with PDF + editable Word.
Can I customize a premade sheet after I buy it?
Yes — that's what the editable Word file is for. Open it in Microsoft Word, Google Docs, or any compatible app and change anything you want. Rename a section, add your unit's logo, resize a grid. It's your file forever.
How does the AI assist work?
In the builder, you can describe your unit and shift in plain English — "ICU nights, 2 patients on drips and the vent" — and our AI suggests a starting set of sections and layout based on what nurses on similar units typically want. You can edit anything before you check out. The AI is a suggestion engine, not a replacement for your judgment.
Is the sheet HIPAA-compliant?
The sheets themselves are blank templates — they don't store patient data. Whatever you write on them is governed by your facility's HIPAA policies. Treat your filled-in brain sheets like any other PHI: shred at end of shift, don't take them home, don't post them online. We never receive, store, or process any patient data through our service.
Can I share my sheet with coworkers?
Personal use is great — print as many copies as you want for yourself. For team or unit-wide use, please buy a team license (coming soon) or have each nurse buy individually. Your purchase is licensed to one person, not a unit.
What payment methods do you accept?
Credit and debit cards (Visa, Mastercard, Amex, Discover), Apple Pay, Google Pay, and PayPal. All payments are processed by Stripe — we never see or store your card details.
Refund policy?
Because sheets are instantly downloaded digital files, all sales are final. That said — if you have an issue with a file (it won't open, looks wrong, isn't what was described), email us within 7 days and we'll fix it or refund you. We've never made it hard for a nurse with a real problem.
Will you add a sheet for my specialty?
Probably yes — we're actively expanding. If you don't see your specialty (NICU, dialysis, oncology, OB triage, etc.), the custom builder almost certainly covers what you need today. Email us your wish list and we'll add a premade version to the shop.
Can I get a bulk license for my hospital, school, or unit?
Yes — we offer educational and institutional licensing for nursing schools, residencies, and hospital units (unlimited downloads for your group at one annual fee). Email teams@brainsheets.org for pricing.
Is this a medical device?
No. BrainSheets is a documentation organization tool. The sheets help you keep notes during your shift but are not part of the medical record and do not provide clinical decision support. Always follow your facility's policies, your training, and your nursing judgment. See our Terms of Service for full disclaimers.
What if I'm a new grad or student — will this help me?
That's actually one of our most loved use cases. New grads use the premade sheets to learn what to look for during a shift; nursing students use them as a structure for clinical paperwork. The "New grad starter pack" bundle gives you sheets for the most common rotations at a discount.
Can I print these on half-letter or pocket-size paper?
Yes. Pick a half-sheet or pocket layout in the builder (or filter premade sheets by layout). The PDF comes pre-formatted for that size with cut lines. Many nurses fold their sheets to fit a scrub pocket — we have fold-friendly layouts for that too.
How do I contact support?
Email help@brainsheets.org or use our contact form. We aim to respond within one business day, often sooner.
